Move-in and move-out inspections are part of our process when bringing on an new tenant and also when they leave. When a tenant moves into a home, we will walk the entire property inside and out and document the condition thoroughly. We follow a comprehensive checklist to make sure we don’t overlook any issue. In addition to the checklist, we take photos and videos of any item that may come up later as an issue.

What are move-in/move-out inspections?

Move-in and move-out inspections are common as part of the rental process that protects both landlords and tenants. A move-in inspection involves a detailed walkthrough of the property before a tenant takes occupancy, documenting the condition of the unit, including walls, flooring, appliances, and fixtures. This process ensures that both parties have a clear record of the property’s condition at the start of the lease. We take photos and video of the entire property with the tenant above and beyond the checklist many property managers use so that there can be little room for dispute about conditions later. Similarly, a move-out inspection is conducted when a tenant vacates, comparing the current state of the rental to the move-in report. This helps determine if any damages beyond normal wear and tear have occurred, allowing landlords to make fair security deposit deductions if necessary. We also document the condition at the end of the lease with photos and video when necessary to minimize issues.

Why are these inspections important?

Conducting move-in and move-out inspections is one of the most effective ways for landlords to protect their rental property and financial investment. A thorough move-in inspection creates a baseline record of the property’s condition, helping to prevent disputes over damages at the end of a lease. By documenting everything from minor cosmetic imperfections to the working order of appliances, landlords can fairly assess any changes when the tenant moves out. Without this record, it can be difficult to prove whether damages were caused by tenant negligence or were pre-existing, which could lead to financial losses or legal disputes over security deposit deductions.

Move-out inspections are just as important because they allow landlords to accurately determine any necessary repairs or maintenance before a new tenant moves in. Identifying damage early helps keep turnover time low and makes sure the property remains in good condition, protecting its long-term value. These inspections also promote accountability, encouraging tenants to take better care of the rental since they know their move-out condition will be compared to the move-in report. Ultimately, move-in and move-out inspections create a fair, transparent process that benefits both landlords and tenants while helping to maintain a high standard of property management.

What are the benefits?

There are several reasons and benefits for why we conduct these inspections:
  1. Documentation – this creates an agreement about the condition of the property that can later be used as a point of reference if there is a dispute over damage later.
  2. Avoid disputes – because all relevant parties have signed off on the condition up front, there is no need to argue as to who is at fault later.
  3. Security deposit claims – when repairs are needed due to the fault of the tenant, it makes it much easier to reference the beginning condition if we have documentation supported by photos and video.
  4. Legal protection – in the event of a dispute that goes to court or threatens to go to court, you will have some legal protection since you had a process in place that had the intention of avoiding these disputes, to begin with.
  5. Maintenance planning – knowing and understanding the current condition of a property allows for better planning later as to how, when, and how much it might cost to make repairs when they become necessary.
  6. Tenant accountability – the simple act of documenting the condition up front let’s the tenant know that you take pride and care of your investment. They know, from the beginning that if they do cause damage, you have a record of what it was like before the damage was caused and this can help make sure tenants take good care of your property.
  7. Faster turnover – when we know what needs to be done to prep a home for the next tenant ahead of time, we can coordinate those repairs more efficiently and get the property ready for the next tenant faster which makes you more money.
